The Voices for Hospices  Choir is committed to protecting your personal information when you are using our services. This Privacy Policy relates to our use of any personal information we collect from you via:

The VfH Choir website (vfhchoir.com)

Social media channels (for example Facebook and YouTube)

Email (either person-to-person or via our email-newsletters)

By post (for example, if you send us a joining form).

In person (for instance at one of our events)

We are committed to safeguarding your personal information. Whenever you provide personal information (for example, your email address) or other sensitive information, we are legally obliged to use your information in line with all laws concerning the protection of personal information, including The General Data Protection Regulation 2018.

What rights do you have?

Under the GDPR, you have the following rights over your data and its use:

The right to be informed about what data we are collecting on you and how we will use it;

The right of access: you can ask to see the data we hold on you ;

The right to rectify you can ask that we update or correct your data;

The right to object: you can ask that we stop using your data for a particular purpose;

The right to erasure: you can ask us to delete the data we hold on you;

The right to restrict processing: you can ask that we temporarily stop using your data while the reason for its use or its accuracy are investigated;

Though unlikely to apply to the data we hold and process on you, you also have rights related to portability and automated decision making (including profiling);

How long do we keep your data?

Our data retention policy is to review all data held on individuals at least every two years and remove data where we no longer have a legitimate reason to keep it.

Where you have withdrawn your consent for us to use your data for a particular purpose (e.g. unsubscribe from our mailing list), we may retain some of your data for up to two years in order to preserve a record of your consent having been withdrawn.

 

Grounds for data collection

Processing of your personal information (i.e. any information which may potentially allow your identification through reasonable means) is necessary for contacting you and providing you with information about the choir and to protect our legitimate interests and for compliance with legal regulations.

When you use vfhchoir.com site, you consent to our collecting, storing and using your Personal Information as described here in this Privacy Policy.

What non-personal information do we collect?

We collect two types of data and information from Users.

The first type of information is unidentified and non-identifiable information pertaining to a User(s), which may be made available or gathered via your use of the Choir Website (known as “ Non-personal Information ”). We are not aware of the identity of a User from which the Non-personal Information was collected.

Non-personal Information that is being collected may include your aggregated usage information and technical information transmitted by your device that may include certain software and hardware information (e.g. the type of browser and operating system your device uses, language preference, access time, etc.) in order to enhance the functionality of our web site. We may also collect information on your activity on the Site (e.g. pages viewed, online browsing, clicks, actions, etc.).

The second type of information Personal Information, which is individually identifiable information, namely information that identifies an individual or may with reasonable effort identify an individual. Such information includes:

Device Information: We collect Personal Information from your device (e.g. computer, tablet, smartphone). Such information includes: Geolocation data; IP address; unique identifiers (e.g. MAC address and UUID); and other information which relates to your activity through the Site.

Registration information: When you fill in our contact form, you will be asked to provide us with your full name and email, and when necessary, a phone number.

 

How do we receive information about you?

We receive your Personal Information:

When you submit a webform from our website, providing us with your name and email address;

When filling out a form at one of our events;

From third-party providers, services and public registers (e.g. traffic analytics vendors).

 

How is the information used? With whom do we share the information?

We will NOT provide any of your Personal Data to third parties.

If you submit information to us by our online webform, post, email or phone, we will store and use that information for the purposes of processing the query or activity you contacted us about. If the information you have provided can also be used for essential administration of your membership with us, we may use the data for this purpose.

We sometimes collect information in person at events. This will normally be your name and email address. We usually collect this information so we can add you to a mailing list. The exact purpose will be made clear at the point we collect the information, and we will only collect and use the information with your consent.
